Title: Executive Assistant
Salary: $100,000 to $130,000, Bonus eligible
Location: New York, NY
Our client, an established and successful investment firm is seeking to hire a key Executive Assistant to provide high-level administrative support to the Chief Strategy Officer, along with periodic support for additional strategy personnel. Additionally, administrative support will include daily operations, calendar management, travel coordination, meeting preparation, expense reports, and ad-hoc projects while contributing to the success of the overall business and team. This role will act as an interface between the strategy team and relevant external and internal parties.
Responsibilities:
• Responsibilities for the Executive Assistant will include day to day general administrative functions and maintenance/ perform general administrative and clerical duties.
• Providing administration support for the Group including helping with presentations, coordinating signing signing/approvals, helping with data manipulations.
• Taking and drafting minutes of meetings, creating presentations, documents, files, spreadsheets, and databases, and coordinating and scheduling team meetings and providing follow-up.
• Documenting processes and procedures and analyzing data as requested.
• Assisting with completing Executives health and other insurance forms/travel reimbursements/other similar personal requirements.
• Monitoring and maintaining calendars and email communications to make sure all appointments and meetings are up to date.
• Handling all travel-related items related to the business schedules for the Group – such as booking flights, cars and hotels domestic and international.
• Preparing meetings for senior executives (e.g. documents, video conferencing, and other logistics).
• Protecting information that is highly confidential, strategic and critical in nature.
• Supporting special ad-hoc projects and initiatives as needed.
Requirements:
• BA/BS required
• 5 plus years’ experience in providing administrative support is required.
• Previous experience in financial industry strongly preferred.
• Strong computer skills required including experience with Microsoft Outlook, Microsoft Office – Excel, Word and PowerPoint.
• Must be very well-organized, detail-oriented, and ability to prioritize and multi-task with great follow-up skills.
• Excellent organization and prioritization skills, and able to work well under pressure.
• Flexibility with time, able to arrive early or stay late and be responsive after hours and on weekends as needed.
• Proficiency with computer skills, including Microsoft Office Suite, Concur or expense related platforms, and Egencia or other travel management solutions.
